Why using PST File a Security Nightmare

Microsoft Outlook uses .PST(Personal Storage Table) file to store emails, contacts, calendars, notes and other user information. The size of PST file increases rapidly with the increase of users and as users send and receive email messages. As these PST files are stored separately at individual systems it can present challenges in business and management risk.

Various reasons which encourage business to eradicate using PST file.
PST file holds critical business information, yet they are saved locally
Organizations need to retain, retrieve or search enterprise email but saving PST files locally is making it impossible to find and manage crucial information stored in PST file.

Burden on storage and backup
There are multiple copies of documents within a single PST file and multiplying it with hundreds or thousands of employees will burden enterprise storage system further. In addition, when PST file is opened even for viewing it requires full backup. The combined size for all employees can reach easily to hundreds of GB. Therefore using PST file will hurt the performance and capacity of backup server.

Prone to corruption and Data loss
Large PST files are prone to corruption which results in loss of critical user data, when the size of PST file exceeds a certain limit the file become inaccessible. Various other reasons for PST file corruption includes corruption of storage device, power failure while accessing PST file, viruses or malicious software etc. In such cases we need to repair pst file with inbox repair tool.

PST files can be an e-discovery nightmare
Information within a PST file is considered a business record and is thus subject to discovery requirements, just like email. However, the dispersed storage of personal folders makes it very difficult for organizations to safely identify and destroy documents that no longer need to be kept for legal or business reasons.

PST files can elude enterprise retention policies
Ultimately, any organization that does not address the risk management issues of PST files is in danger of losing critical business information. Organizations that have a fixed data retention period (for example, 90 days), but also allow users to create PST files, inadvertently encourage ad hoc archiving. In these circumstances, individual users may decide to save their data for longer periods than specified by corporate policies. This unmanaged archiving makes it difficult to comply with regulatory requirements, and it could possibly subject your organization to charges of data spoliation (failure to adequately preserve electronic evidence) during litigation.
