Office environment goes easy by enrolling File management system - Image 1

Not all organizations are easily well organized, but having easy access to files not only saves time but makes tasks easier. To make work hassle-free, it is suggested that a File management system needs to be implemented for any office environment.

File management system, as the name suggests, means ‘to place or manage files and documents’, in an order that is easily understood and helpful to avoid work stress.

There is no standard system for managing files. Some firms prefer paper management whereas, some prefer electronic management. Organizations mostly prefer an electronic management system. Both the systems are useful as long as they make sense to you and your co-workers.

Let us understand the best methods to manage both the systems.

  • Electronic files

The best way to have an easy management is to have a standard method of saving files and placing the documents in folders. Also, making multi -folders within folders makes work messy and time-consuming. Therefore, it is suggested to have separate folders for smooth research and work.

As business sectors mostly rely on electronic mail, it is important to easily locate the mail or document required on time. The search function performs location of documents. This will save time from scanning the entire mailbox.

  • Paper files

It would be an easy process if you implement a filing cabinet for storing documents that need not be accessed on a regular basis whereas, a quick desk system for documents accessed regularly.

No matter what system you implement, it is necessary that you follow the K.I.S. principle i.e., Keeping it simple, to have easy management.

There are more guidelines for managing files easily. Let us discuss more on them.

  • Choose one place to store documents

If your files are placed randomly around the hard drive, it will consume your time in searching. So why to waste time when you can store files at one place systematically. Choose a place to store files and try having a daily backup for safety. Also, the chances of a computer slow down also increase if the files are not placed in a uniform pattern.

  • Standard naming for individual files

Never save the document as it is or by the default name that the software suggests. It will only be a mess when you will look up for the document. Try naming each document by a title that is referable to the subject matter.

Why is an electronic File management system more preferred?

Modern companies store data in digital files as a large number of data is generated and it gets difficult to manage a paper document system. An electronic data management system is required to make the data accessible to all easily.

Moreover, this system is preferred for its unique features like:

  • Storage

Apart from just storing the data, file management programs also backup data and reduce work duplication. All these tasks are performed automatically and if not, then they can be performed manually by receiving alerts.

  • Communications

The program enables you to attach links and transfer files easily via email. This makes communication regarding the documents easy and fast.

  • Security

The files can be restricted and made accessible only by log-in procedures. This is how the program ensures security. Also, the program encrypts information and gives alerts about modifications in the documents. This makes the user aware of the activities performed.

  • Operations

Operation functions such as save, copy, move, delete, open, new and share lets the users interact with the files. Also, the benefit of printing the document is enabled if a printer is attached to the system. Manage lets you configure the program and store files.

  • Navigation

Navigation functions include commands such as up and down to view the folder structure and Go to if the user knows the location of the document. The programs have a system that navigates through the file hierarchy and locates the document.

  • Search

File management programs typically have the option to search for files directly. This will help you locate the file directly by the title. In fact, many programs will look for the keyword within a document making your search process easier.

The search option is the most useful feature of an electronic file management program as it fulfills the requirements of a management system, i.e., to have access to documents easily and save time.

So, be it any form of File management system, paper or electronic, it is essential that the system gets friendly with the user and keeps the purposes of enrolling the management system alive, i.e. to have a smooth and easy document management.

Thank you for sharing. Good to know what features I should be looking into when evaluating File management systems. Are there any open source file management systems available that you could recommend?
