As well as making a significant contribution to public finances, these taxes make an important contribution towards the governments wider social, health and environmental objectives.The RoleYoull be joining a lively and dynamic Private Office (PO) at the centre of the Indirect Tax Directorate supporting the Director (TD) to improve her impact and efficiency.As Diary Manager Private Office Support, you will work directly to the Private Secretary, collaborating closely with TD daily, handling her diary and actioning other general administrative tasks. You will also be an active member of the wider directorate PA Private Office (PO) support network.This role provides a fantastic opportunity to gain insight into a policy directorate within HMRC where you will gain vital skills as part of a PO team, supporting a Senior Civil Servant.During the current COVID Environment, our directorate are all temporarily working from home (with the exception of a few personal cases). Upon returning to the office, flexible working arrangements and working from home may be possible, but this role will include regular travel to our offices in London (Westminster, Stratford Croydon), Liverpool Manchester (Salford).This post is full time however applicants who wish to work alternative working patterns are also encouraged to apply. The preferred working pattern may or may not be available, agreement will be subject to business need, and any request to work an alternative working pattern should be made prior to your acceptance of the provisional offer.Job descriptionWe are looking for a confident and efficient Diary Manager Private Office Support officer to provide an outstanding service to the Director of Indirect Tax, helping her to operate effectively to deliver the organisational objectives.Overall your primary purpose is to be a broad and inclusive member of the private office, ensuring that each working day for the Director (TD) runs efficiently and seamlessly. This may require you making decisions and being proactivemanaging her diary, arranging meetings, commissioning briefings and collating information to prepare daily meeting packs as well as other general administrative tasks.You will build and sustain effective relationships with a range of internal and external partners. Someone who will be a great teammate with the confidence to develop good rapport to improve a cohesive relationship with the Private Office, the Director Generals Private Office, with the Senior Leadership Team, the PA Network and with colleagues across the whole of the directorate.This role will challenge you. It is an incredibly varied and exciting opportunityoffering a captivating insight into this area of HMRC.ResponsibilitiesYou will be encouraged to deliver in this role (but not limiting to): Proactively handling TDs diary using Microsoft Outlook, resolving conflicting scheduling requests, booking rooms, arranging travel and accommodation where required and ensuring her time is handled efficiently. Manage produce daily packs for TD using One Note, ensuring she is fully prepared for all of her meetings which will involve commissioning out for briefings. Managing TDs inbox when required (including covering periods of the Private Secretarys leave etc), sorting emails as they are received, allocating to appropriate categories and flagging urgent work. General administrative duties (including but not limited to): manging organograms, distribution lists, formatting and issuing of Ministerial Correspondence at Director level, processing the directors recognition nominations and letters as required. Handle sensitive information in a confident manner. Be an active member of the Directorates PA Private Office network. Support with managing the logistics of directorate wide events (varying from monthly directorate Quizzes/Socials, to all day, all directorate face to face Away Days) Other Ad Hoc duties as required and occasional travel to other offices (LondonWestminster, Stratford Croydon, Liverpool ManchesterSalford).Essential Criteria The successful candidate will need to meet the following criteria: Have experience already as a Diary Manager, Personal Assistant or within a Private Office. To prioritise tasks accordingly and demonstrate a high level of organisation. Ability to approach difficult tasks and sudden changes appropriately. Can effectively work in a fast-paced pressurised environment, remaining professional, while prioritising multiple demands. Ability to communicate and build effective working relationships with both peers and senior colleagues.
