The Rise Of Cloud Storage - Image 1
With the rise in data transfer through emails, and a gigantic increase in the statistics predicted for the years to come, there is always a need for companies to have flexible and expansive storage. Retaining and recording emails and their content, for compliance to regulatory laws and business procedures for email archiving by itself is a daunting task which is bound to require more workforce and space, as more data is contained and or evaluated. Initially, email servers were used for the task of accumulating mass emails for clients; later, companies that required email retention also approached local email archiving compliance vendors for archival solutions. This is why the world has seen a sudden rise towards cloud storage and online email archiving.

Why is cloud storage needed?

All of a sudden Google, Dropbox and Microsoft are concentrating efforts on their cloud networking and here is why: businesses need better storage and information access capabilities with better security even from their own employees. Imagine an entrepreneur working 11 hours a day; that person would definitely not stop and save their emails or the emails of their firm on external hard drives. Nor would they be expected to double check the security, ascertain their originality, prevent frauds or escape pitfalls of litigation. It is simply not possible. Nor is this feasible for them to audit the company or look through important emails for litigation. Online email archiving is the simple answer to all corporations’ archival needs. A cloud storage system automatically transfers all emails to the cloud and an off-site holding facility so that the entrepreneur is barely concerned with saving their emails, knowing that they are safe and secure. Secondly, it is noted that email communication is expanding more than ever; the majority of file transfers is via attachment in emails. Thus IT companies are eager to provide their clients with a version of a one-stop shop; that is work, save and share without a hitch. By using a cloud facility people can integrate their documentation with communication and sharing becomes a smooth flow.

What services and facilities does the cloud storage provide?

The best advantage firms all across the world have in cloud storage is infinite email storing capacity; multiple files can be uploaded and space is seemingly inexhaustible and all this can be achieved for minimal costs. Corporations across the globe have faced several problems regarding their data storage and distribution, such as a company with 500 branches globally would potentially have 500 versions of saved data either on different storage facilities or in a completely different format. Cloud storage offers a more centralized form of storage that the company data is uniform and saved in a centralized manner and is easily accessible.

Saving in an online email archiving system also ensures safe and secure backup systems. This is the second major reason that big IT companies are eager to develop their cloud systems. Once an email is saved in the cloud, it has been permanently stored (until the deletion time in its settings is enacted) and unauthorized personnel would definitely not be able to alter or corrupt the files. Several online email archiving systems allow automatic backup of sent or received emails in the cloud and some require a manual command, but all of them offer cloud storage and is the best insurance against data loss of any kind.

Online email archiving is definitely needed by businesses today especially considering email communication is predicted to increase in the years to come and safeguarding them is a task that cloud storage systems excel at. Businesses cannot afford to lose valuable information, allow data tampering or data fraud to occur.
