Service Care Solutions are currently recruiting for an experienced Portfolio Support Officer to work on a full-time, fixed term contract within a highly secure setting.

The role requires that all applicants already possess SC security clearance.
Applicants who do not hold this level of vetting will not be considered.

The purpose of this role is to provide a high level of proactive administrative support (including dealing with correspondence, providing secretariat support to change governance meetings, maintaining registers and trackers, and other support as required) to the Portfolio and Change Management team and the Assurance and Standards team within CTPHQ Change Pillar.

Key Responsibilities

The post holder will need to work flexibly to provide management and maintenance of relevant portfolio control documentation.

The post holder will need to support the portfolio to:

Review and manage email mailbox relating to the work of their team.

This includes monitoring and coordinating responses relating to the work of the team.
Manage CTP change governance meetings, ensuring that papers are circulated correctly and in time with locally agreed timeframes, producing summary minutes (especially decisions and actions trackers) and ensuring follow up actions are progressed and updated within the timeframes specified by the meeting chair.
Contributing to the design of portfolio trackers, dashboards, process diagrams and similar documentation.

This includes effectively obtaining relevant data and providing some analysis.
Ensure control documentation is maintained and updated regularly, such as key logs, trackers and documents.
Maintaining the corporate shared drive system in accordance with guidelines and standards, therefore ensuring compliance with Information Management Standards.
Support coordination of key activities for the team.

This may include onboarding/induction activities for newly appointed staff.
To support the work of the wider Change Pillar by disseminating information and communications to Change Pillar staff and key stakeholders.
To establish and maintain effective working relationships with staff and officers within the CTPHQ Change Pillar, other units within CTPHQ, across the CT Network, across Specialist Operations, other relevant areas of the MPS and with external stakeholders.
To undertake additional high level administrative support tasks in line with the Band D grading as directed by their Line and/or Tasking manager.
Enable the team with ad hoc administrative requests as required, to enable the successful delivery of the portfolio.

Essential Experience

Experience of supporting the delivery of relevant objectives and meet the needs of customers and managers.
Experience of undertaking a range of tasks, ensuring outcomes are delivered to a high quality standard within the required timeframe.
The ability to quickly understand, collate and present complex information in a simple manner.
Experience of working to support effective decision making.
Experience of helping others by supplying them with appropriate information and support where relevant.
Experience of taking effective minutes in a change environment, including succinct and accurate records of actions and decisions.

Qualifications

P30 Foundation and/or recognised industry equivalent qualification (experience within areas outlined will also be considered should the essential qualification not be met.

Desirable

P30 Practitioner (or recognised industry equivalent qualification)
