The Loan Operation Legal File Specialist is responsible for the creation and maintenance of all legal loan files (electronic and physical format), as well as ensuring that they are maintained in an accurate and complete manner.

Responsibilities include:

Responsible for the initial creation, indexing and publication of loan legal files maintained in electronic format (multiple systems).

Maintain all legal loan files in a complete, secured, organized and controlled manner (electronic and/or physical files).

Responsible for the maintenance and safekeeping of all original loan document files (new and renewed loans).

Maintain all supplies for the department.

Mail loan notices, advises of credit and debits and distribute mail within the department.

Responsible for the process related to storage of closed loan files (Document Bank).

Assist Department staff in clerical and administrative tasks at peak time cycles.

Fill in for other functions within the department during absences.

Perform other related duties and assignments as required.

Work in special projects.

Recommend to immediate supervisor, policy and procedure changes needed to ensure quality of the work processed by the area at all times as well as continuous improvement of the imaging loan operation process.

Identify, evaluate, monitor and make any recommendation deemed necessary to their respective Risk Management Committee in order to assess, reduce, eliminate or control any current or prospective risks to earnings or capital arising from violations of, or nonconformance with, laws, rules regulations, prescribed practices, internal policies and procedures or ethical standards.

Functional Skills & Knowledge Requirements:

Superior customer service skills required. Ability to work within a team, ability to work well under pressure and meet tight deadlines.

Minimum Work Experience Requirements:

Minimum one year experience in loan clerical environment. Knowledge of legal loan documentation required (ability to identify different types of loan documentation). Experience in Document Management Systems preferred.

Technical and/or Other Essential Knowledge:

Working knowledge of Internet, Lotus Notes, Excel and MS Office Skills, including MS Word Level I and MS Excel Level I required.

Working Conditions:Physical Demands. Air conditioned office environment that is often noisy and dusty with the work produced 20% of the time by sitting, 20% standing, 25% pushing, pulling and lifting files from drawers, 25% lifting and reaching for files and 10% kneeling to reach supplies and to store them.

Stressors. Deadlines, volume of work and multiple priorities.
