How to Export Exchange Server Public Folder to PST using Outlook

Exchange Server Database comprises Public folders and Private Stores. Private folders are also known as Mailboxes that contains system and user mailboxes, and Public folders are used to share data between users. The store that contains both Public and Private Folders is referred to as a Storage Group.

All the data in Public Folders and Mailboxes are stored in EDB files as pub.edb and priv.edb. Since data on Server is stored in EDB file and associated streaming STM files, it can only be accessed within the Server environment. However, portability to Exchange Server mailbox data can be offered by saving it to PST files.

Why convert to PST?

With accumulation of more and more emails and other mailbox data, Exchange Server mailbox become oversized, and this sometimes turns Exchange to an inaccessible state. By saving the emails in the PST file format, Exchange Server mailbox data can be accessed in Outlook, and this automatically reduces the burden on Server. Other benefits to export Public Folder into PST are:

· Mailbox turns Portable: After the Exchange mailboxes are converted to PST, the data incorporated in these mailboxes can be accessed from any machine running MS Outlook.

· Improved Server Response Time: When heavy mailboxes are moved to Outlook PST, the load on the Server reduces, and this triggers the performance of Database to a larger extent.

· More Organized Mailboxes: When EDB files are exported to PST, the public folders on the Exchange Server are left with a very minimal data. Thus mailboxes on both Exchange Server and Outlook can be managed effectively.

Export Exchange Server Public Folders to PST in Outlook 2013 & 2010

Below is the process to convert Exchange Server Public Folder data to PST so that the mailbox data can be accessed in Microsoft Outlook.

1. Go to the File tab and click on Open & Export and next, click on Import or Export

2. From the then appeared dialog box, select Export to a file option and then click Next

3. Select the Outlook Data File (.pst) and click Next

4. Then select the public folder you need to migrate and select Include Subfolder (optional) and then click on Next

5. Browse and select the location for storing exported data and click Finish

6. If it prompts for Password, provide accurate credentials if needed and then click OK

Export Exchange Server Public Folders to Older Outlook Versions

If you are using an older version of Microsoft Outlook (2007, 2003, 2002, or 2000) and need to export a Public Folder into PST, follow the steps below:

1. From the File menu, select Import or Export wizard

2. Select Export to a file in the window that appears and click on Next

3. Select Personal Folder File (.pst) in the Import & Export wizard

4. In the Export Outlook Data File dialog box, select the public folder that needs to be exported

5. Tick mark the checkbox associated with Include Subfolders option (available at the bottom section) and click on Next

Note: Selecting Include Subfolders option exports the subfolders included under the root folders to PST file format

6. Next, click on the Browse button to select the destination path for storing the exported Public Folders as PST files

7. Under Options section, select Replace Duplicates with Items Exported to ensure that no duplicate items are moved

8. Finally, click Finish

For Outlook for Mac Users

If you are using Outlook 2011 on your Mac machine and need to export public folders to Outlook for Mac (OLM) file format, follow the given steps:

1. Go to File menu and select Export

2. Select Outlook for Mac Data File (.olm) from the given options

3. Next, select Items of the following types and tick the items that need to be exported such as Mails, Contacts, Calendars, Notes, and Tasks

4. Next, click on the right arrow to proceed further

5. If you want the exported items to get deleted after the export process, then select either of the given options as appropriate:

i. Yes, delete items after they are exported option

ii. No, do not delete items

6. Next, click on the right arrow sign

7. Click on Browse to select the destination path for storing converted OLM files in Mac Outlook 2011

8. Then click on Save and at last click on Done

The above mentioned procedure will help convert Exchange Server Public Folder to PST as well as OLM in Windows and Mac OS X respectively.

Important!

· To export Exchange Server Public Folders to Outlook, the pub.edb file must exist in a healthy state on Exchange Server.

· Any inconsistency in the Exchange Server Database can lead to failure of export procedure.

· If inconsistencies exist in the database files, you can use built-in Eseutil utility to turn database to a consistent and healthy state.

· Alternatively, you can select restoring data from Exchange backup.

If none of the above stated methods seem to work, you can choose to employ a third-party tool that possesses the capability to extract Public Folder from the offline Exchange Server Database files. Later on, the data from Exchange Server Public Folders can be exported to Outlook PST or Mac Outlook OLM file formats.
